Client messaging for securities firms and brokerages in Hong Kong

Clients want to reach their account executive on WhatsApp. Your record-keeping obligations do not care what channel they chose. The gap between those two facts is where firms get into trouble — and it is closed by supervision and retention, not by banning the app.

The core problem

Prohibiting instant messaging does not work. Clients message anyway, account executives reply from personal handsets to keep the relationship, and the firm ends up with client communications it cannot see, cannot supervise and cannot produce. The record-keeping failure is not caused by WhatsApp. It is caused by WhatsApp being off the firm’s systems.

The workable answer is to bring the channel onto a supervised platform where every message is captured, retained for the period your policy sets, attributable to a named individual, and exportable on request.

What a licensed corporation typically needs from a messaging platform

This describes the operating environment firms tell us they are working in. It is not legal advice, and your compliance function should define the actual requirements.

  • Complete capture. Every inbound and outbound message on the channel, including attachments, held in a system of record.
  • Attribution. Which licensed representative sent what, and when. Shared mailboxes without per-user attribution create a supervision gap.
  • Retention control. The ability to set the retention period to match the firm’s policy rather than a vendor default, and to evidence that setting.
  • Supervision and review. The ability for a compliance officer to search, review and flag conversations without needing the representative’s handset.
  • Pre-approved wording. WhatsApp Business API requires outbound templates to be approved before use, which gives compliance a natural gate on standard client communications.
  • Access control. Client information restricted to those who need it, with an audit trail of who accessed what.
  • Known data location. The ability to state where client data is processed and stored — a question that comes up in nearly every due-diligence questionnaire.
  • Clean offboarding. When a representative leaves, the client relationship and its history stay with the firm.

How imBee maps to those needs

ControlWhat it does in practice
Every conversation in one supervised placeStaff messaging clients from personal phones is the single biggest record-keeping gap in most firms. A shared team inbox moves those conversations onto a channel the firm controls.
Retention you set, not the vendorA customisable data retention period on the AI Enterprise plan means the retention clock matches your policy rather than a default someone else chose.
Role-based access and audit trailsWho can see which conversations, who replied, who exported. Access control and audit logging are part of imBee’s data governance feature set.
Private cloud optionFor firms that need to state where data is processed, a private cloud deployment option is published on the AI Enterprise plan.
Approved message templatesWhatsApp Business API requires templates to be submitted and approved before they can be sent outbound. That approval step is a natural control point for pre-vetted wording.
Opt-in and consent handlingOutbound messaging on WhatsApp requires the recipient to have opted in. Capturing and evidencing that consent is part of the workflow, not an afterthought.

imBee is an Official Meta Technology Partner and is ISO 27001 certified. The AI Enterprise plan publishes a private cloud option and a customisable data retention period, which is what lets a firm answer the data-location and retention questions in a due-diligence questionnaire with something more specific than ‘the vendor’s cloud’.

Common questions

Can we take order instructions over WhatsApp?

That is a question for your compliance function and your licence conditions, not for a software vendor — and the answer varies by firm, by activity type and by how your policies are written. What we can say is that if instructions are being received on a channel today, the firm is better off with that channel captured and supervised than with it invisible. Bring your compliance team into the platform evaluation early rather than after rollout.

What happens to client conversations when an account executive resigns?

On a personal handset, they leave with the phone. On a shared supervised inbox, the conversation history stays with the firm and the client relationship is reassigned to another representative with full context. This is one of the strongest operational arguments for moving off personal devices, separate from any regulatory consideration.

Can we set our own retention period?

Yes — a customisable data retention period is published as a feature of the AI Enterprise plan. Set it to match your firm's retention policy. Confirm the exact mechanics and any minimums with the sales team in writing before you contract.

Where is the data stored?

imBee publishes a private cloud option on the AI Enterprise plan, which is how firms that need to specify a processing location address this. Ask for the specifics in writing and have your IT security team review them — this is exactly the sort of claim that should be verified rather than taken from a web page, including this one.

Does imBee guarantee that my firm will be compliant?

No, and be wary of any vendor that says otherwise. Compliance is a property of your policies, your supervision and your record-keeping, not of a piece of software. What a platform can do is make compliant behaviour the default and the easy path: keep every conversation on a supervised channel, retain it for the period you set, log who saw and sent what, and produce it on request. imBee is ISO 27001 certified and offers a private cloud option and a customisable data retention period on the AI Enterprise plan. Your legal and compliance teams still own the policy.

Is imBee an official Meta partner?

Yes. imBee is an Official Meta Technology Partner. That partnership is how imBee provisions and supports WhatsApp Business API accounts for its customers, including Meta Business verification, template approval and message-template management. If you are evaluating any vendor in this category, ask them to state their exact partner designation in writing and to show you how your WhatsApp Business Account and phone number will be owned — you should hold the asset, not the vendor.
